The words “security” and “convenience” don’t have to be opposites—with Xerox technology, it’s possible to have both. While there are many different ways to secure your printer and your data (see the end of this post for a few helpful links), the usual starting point for most workplaces is to decide on an authentication system, that is, the way users log in to the printer.

In today’s post, we’ll take a look at the different ways you and your team can log in to your Xerox MFP, offer a few tips on how to decide, and finish up by sharing some more Xerox security resources we’ve published for you.

Let’s begin:

balancing security and convenienceWhat Authentication Types Are Available for My Xerox MFP?

While others exist, typical office workplaces (including garage startups and enterprise tier companies) will use one of the following authentication types:

  • Username and password
  • PIN code
  • Card or badge
  • Smartphone (QR code scanning)

In the following section, we’ll explain each type and give you some tips on whether it’s the right choice for your organization.

How To Choose an Authentication Method That Keeps Your Data Safe Without Slowing Your Team Down

If you want an authentication method that’s fast and easy to set up, works out-of-the-box, and that still offers decent security, PIN code authentication is a great choice. Each member of your team just has to remember a few digits.

Username and password credential-style authentication is also another quick setup, and may offer enhanced security compared to PIN codes (as there is greater complexity involved). However, some offices prefer not to use this style of authentication because it requires staff to type in their username and password at the display of the printer. While not terribly cumbersome, it isn’t as fast as something like a proximity card, which we’ll discuss next.

Proximity cards are one of the faster choices for authentication, which might be important in a busy office where the printer is used often by many people. Users simply have to swipe or present a card or badge at the printer to be granted access. A card reader will need to be installed onto the printer, which is typically sold separately.

Finally, you can also use your smartphone to login by scanning a QR code. This is possible with Xerox Workplace Cloud, or, for connector style apps, the excellent and free Xerox App Mobile Login feature, which we detailed in our post Taking Too Long To Securely Access Your Apps? Xerox Mobile Login Is a Fast, Secure Way To Log In.
